Privacy Policy

Effective date: October 18, 2026 · Updated October 26, 2026 · Version 1.1

1. Who we are and how to contact us

Picmeclick LLC operates Pic Me at picmesports.com. This policy explains how Pic Me handles personal information. For privacy questions, access, correction, deletion or a guardian request, email bg@picmeclick.com with the subject “Pic Me privacy request”. Please do not email passwords, payment-card details or identity documents unless we arrange a secure method. Guardian requests (access, correction, deletion or withdrawal of consent for a child) use this same contact: write “Guardian request” in the subject. We aim to acknowledge requests within 10 business days and will give an expected completion time once we have verified your authority. A dedicated privacy contact address is planned.

2. Information we collect

Depending on the features you use, we collect account identifiers and email address; age or date-of-birth information used for safety; guardian relationship and consent records; athlete and organisation information you submit, such as sporting biography, team, achievements and media; posts, messages, saved items and reports; and subscription status and transaction references. Servers and infrastructure providers also process technical data such as IP addresses, browser/device details, request times and security or error logs. Optional information should be omitted if you do not want to provide it. Do not include precise home locations, sensitive health information or unnecessary information about children in public content.

3. How we use information

We use information to operate accounts and profiles, apply visibility and age-related restrictions, provide communication and discovery features, process subscriptions, respond to support requests, moderate content, investigate abuse, protect the service and meet legal obligations. Optional usage and interest signals support product improvement, recommendations and aggregated audience insights where the applicable preference allows. We do not sell personal information. We do not use children’s personal information for behavioural advertising.

4. TikTok and other optional connections

When the TikTok integration is enabled and you authorise it, Pic Me requests the approved profile and video permissions shown on TikTok’s consent screen. Available data may include your provider identifier, display name, biography and recent public video metadata and original links. You preview the information and choose which supported details and links to save in a private import draft; profile prefill remains editable. This initial version is a one-time import, not continuous sync, and does not copy video files. Authorisation codes and access tokens are used server-side to complete authorised requests; they are not public profile fields. You can revoke Pic Me’s access through TikTok’s account settings. Revocation alone does not delete a draft already saved in Pic Me: delete it through available controls or contact us. Skipping a connection does not prevent normal profile creation. Other connections will describe their permissions before use.

5. Who can see information

Publicly published profiles and posts can be seen, copied or shared by others and may be indexed by search engines. Private drafts are not public posts. Profile and communication visibility depends on applicable settings, guardian restrictions and the feature used. Other participants receive information you intentionally share with them. We may review private content when necessary to investigate a report, provide support, prevent abuse or comply with law. Do not assume that content shared publicly can be fully recalled.

6. Service providers and disclosures

We use providers for application hosting and databases (including Base44 and Cloudflare during migration), authentication (including Auth0 where enabled), payments (Stripe), and AI-assisted review (including Google Gemini where enabled). They receive information needed for their services. Payment-card information is handled by the payment provider rather than being a profile field. Text submitted for an AI review is sent to the configured provider for that review; avoid unnecessary personal or sensitive information. Provider processing is governed by applicable contracts and provider policies. We may disclose information for legal obligations, protection of rights and safety, or a business transfer subject to applicable safeguards. Publisher attribution does not imply an endorsement or partnership.

7. Cookies, storage and external media

Pic Me uses browser storage and similar technologies for sessions, security, preferences and connection state. The privacy controls offer choices for optional engagement, content-interest and audience-insight signals. Essential infrastructure may still generate operational and security logs. You can change available preferences in account privacy settings and manage browser storage in your browser. External links and embedded players may transmit technical information to their providers when opened or loaded; those providers’ own policies apply.

8. Children and guardians

Youth participation needs special safeguards. Children under 13 must not independently submit information or connect social accounts. Their participation requires a guardian-managed process and legally required verifiable parental consent before collection or use beyond permitted limited purposes. A guardian link or checkbox alone is not a representation that legal consent requirements have been satisfied. Where the required process is unavailable, do not submit a child’s information. Parents may ask what information is held about their child, request correction or deletion, withdraw consent and refuse further collection or use, subject to identity and authority checks and applicable law. We do not condition participation on providing more child information than reasonably necessary. Contact us if you believe child information was collected without required consent so we can investigate, restrict use and remove it as appropriate. Publication of this policy does not certify that an under-13 launch is authorised.

9. Retention, deletion and security

We retain information for as long as reasonably needed for the service and the purposes described here, then delete or de-identify it. Retention varies with account activity, legal requirements, security investigations and disputes; we are defining a fixed retention period for each data category and will publish it here. Until then, information is kept only as long as needed for the purposes described. Deletion requests may require reasonable identity or guardian-authority verification. Backups and legally required records may persist for a limited period, and copies independently held by other users or third parties may remain outside our control. We use technical and organisational safeguards, but no service can guarantee absolute security.

10. Your choices and rights

You can edit supported profile fields, change available privacy preferences, decline social imports, revoke provider access and request account or imported-data deletion. Depending on where you live, you may have rights to access, correct, delete, obtain a copy of, restrict or object to processing of information, withdraw consent, appeal a request decision or complain to a regulator. Contact us to exercise these rights; we will respond as required by applicable law and will not unlawfully discriminate against you for exercising them. Where European or UK law applies, processing relies as appropriate on service performance, consent, legal obligations or legitimate interests in operating and securing the service, subject to your rights.

11. Podcast audio, video, transcripts and screening

If you publish a podcast on Pic Me, the audio or MP4 video you upload is stored privately, with no public address or permanent link. Playback is only possible through short-lived signed links issued to a signed-in member whose account is allowed to hear that episode, so a copy of the link is not a lasting way to share the file.

To screen an upload for safety, we create a temporary transcript of the audio, or of the audio track of an uploaded video, using an automated speech-to-text service and run an automated check for strong language, sexual content, violence, drugs or alcohol, hateful language, self-harm references and gambling promotion. The transcript and the screening result are used only for safety, moderation and review decisions. They are not published, are not shown to other members, and are not used for advertising. A Pic Me reviewer may listen to the full episode, and watch it where it is a video episode, before it is published.

The screening result, the audio file, your chosen age rating, the publisher terms version you accepted and the reviewer decision are kept with the episode record so we can show why an episode was published or held. If you withdraw an episode, or cancel podcast publishing, the episode is no longer available to other members and you may ask us to delete it. If you submit an external episode link instead of an upload, we do not copy or transcribe the file and the destination host's own privacy practices apply.

Automated screening cannot detect everything, which is why a human review happens before publication. Do not upload audio containing information you are not permitted to share, such as a child's school, address or contact details.

12. International processing and updates

Pic Me is operated in the United States and providers may process information in other countries. Where required, transfers must use applicable legal safeguards. We will update this policy as services and practices change and provide notice of material changes as required. New uses requiring consent will not be authorised merely by changing this policy.
